Cleaning up Microsoft Outlook

It's getting to be time to compress and delete old files in my Microsoft Outlook. I've had this done remotely by a computer shop (at $100 each time), where they take over my confuser, whiz around my file system, and compress/delete (or whatever they do) to get rid of all the deleted files. It s
Importare posta da Microsoft Outlook ad Apple Mail
2009-04-11 18:59:00

4 Steps to Setting up E-mail Distribution Lists
2008-03-27 13:43:00
Do you find yourself having to write each person's e-mail address over and over again for certain e-mails? Do you wish that you could make life simpler by just entering one item that would include a list of e-mail addresses?   Here are 4 simple steps to creating an e-mail distribution list in Microsoft Outlook:   Make sure that you are in the "E-mail" section of your Outlook.  Click on the arrow down button right beside the "New" button, then click "Distribution List"     Here you can either "Select Members" or "Add New". Select Members is used to find contacts that are already in your address book. Add New, of course, would be used to add a brand new contact.     Save the new e-mail distribution list by giving it a name that this corresponds to whatever it is being used for. For example, if I need to send out a newsletter to all...

Google Calendar Sync for Microsoft Outlook
2008-03-07 21:08:00
One of the most popular requests for Google Calendar was synchronization with mobile devices and Outlook. After launching a sync tool for Blackberries, Google Calendar now offers a small utility for synchronizing events with Outlook. By default the synchronization is bi-directional, but you can change this when you install the utility or from the options dialog. The only significant drawback is that you can only synchronize your main Google Calendar, but a future update should remove this limitation.Google installs a small program that loads at start-up and sits on your system tray, while waiting for the next synchronization (the default sync interval is 2 hours). After synchronizing your calendar with Outlook, you can access it offline and synchronize it with your mobile phone. It's worth noting that Google's new tool works with Google Apps accounts and it's another step towards making Google Apps more business-friendly.View: Google Calendar SyncSource: GoogleSystem

How to pin Microsoft Outlook Calendar on your desktop
2008-02-19 06:49:00
Using a calendaring program on your computer is a pain because these programs don't mimic their real life counterpart very well. People who use calendars to organize their daily lives have them visible in plain sight nearly all of the time. Yet, on the computer, you have to go through a myriad of windows and clicks before you can even see your calendar. To solve this problem a person named Michael Scrivo has developed a very innovative program called Outlook on the Desktop. This program places... ...
Tired of Sending Recurring E-mails?
2008-02-14 14:42:00
Do you find that you write the same e-mails over and over again? Do you feel that there should be an easier way of doing this?   Of course there is. It all depends on how you need to do this. There are two different methods that you can follow to creating recurring e-mails.   You can create a Microsoft Outlook e-mail template, which you can open and manipulate as you go along. The only downfall is that you would have to send manually each time.  You can use either an online service called LetterMeLater.com or purchase SendLater for Microsoft Outlook.  LetterMeLater.com allows you to send e-mails via an online application for free. You can send recurring e-mails as many or as few times as you want.  SendLater for Microsoft Outlook allows you to send e-mails directly from your software on your computer (this is an add-on for Microsoft Outlook), but then there is a cost associated with it.&n...
Using Microsoft Office E-mail Templates
2008-02-08 14:57:00
Do you wite reccurring e-mails on a regular basis? Are your hands getting tired from constantly having to retype the same e-mail over and over again? There is a simple solution to this - E-mail Templates!   There are certain tasks that I need to do on a daily, weekly, monthly, etc. basis and it usually involves e-mail. About 90% of my work comes in the form of e-mails, since I want to be able to track anything and everything that managers and fellow staff members send me.   To be a little more productive at my job, I thought I'd create e-mail templates, which save quite a bit of time in the long run.   Here are 9 steps to creating an e-mail template in Microsoft Outlook:   On the Tools menu, click Options, then click the Mail Format tab.  Clear the Use Mircosoft Office Word 2003 to edit e-mail messages check box.  Click Apply, then OK.  On the File menu, point to New, then click Mail Message.  When ...

How to easily Strip attachments automatically in Microsoft Outlook
2008-02-05 12:15:00
If you just don't have enough time in the day to sort through all your mails and file each attachment (I'm sure everyone can relate),I suggest you use this macro that strips attachments from your emails, saves them to a folder in your My Documents directory, and inserts a hyperlink pointing to the saved attachment:Note: Before using this macro, please store all important attachments, run it on a message containing an attachment of low importance and check the macro is working properly. Use this macro at your own discretion and risk, and ensure that you do not overwrite files with the same name.1. In your My Documents folder, create a folder named "OLAttachments"2. In Outlook, go to Tools > Macro > Macros3. In the Macro name box, type a name for your macro, e.g. SaveAttachments (no spaces) and click Create.4. Paste the following code into the code window of the module:Public Sub SaveAttachments()Dim objOL As Outlook....
Microsoft Outlook Shared Mailboxes Etiquette
2008-01-31 14:44:00
Do you have more than one mailbox in your Microsoft Outlook, other than your inbox? Do you share these other mailboxes with other staff members?   I have shared access to 4 different mailboxes for various products and projects. We use these mainly for e-mail campaigns and has shown to be very successful.   One thing that some people tend to do is read an e-mail that they think might be for them. Since this is a shared mailbox, it's considered acceptable. Once they read the e-mail and realize it's not for them, they leave it as is.   This causes a problem for the rest of the staff members that also have access to this mailbox, since the message is marked "Read" and the number of "Unread" messages doesn't show up on the left side in bold, if this was the only e-mail message or all of them have been marked as "Read".   Remind your staff members to mark items as "Unread" if the e-mail doesn't pertain to ...

Using Microsoft Outlook Calendar Properly
2008-01-22 14:39:00
Are you trying to book a meeting with someone or a group of people? Do you find that you book a meeting date/time, but one or more people from the group let you know that they can’t make it during that date/time?   This happens to me quite frequently. People are using their Microsoft Outlook calendars incorrectly. They either block off time that they shouldn’t have or they block it off so that it either shows that they’re busy, but really out of the office or vice versa. Then you end up going back and forth to try to figure out what works for everyone. Imagine if you had a large number of people doing this. How many times would you have to contact each person to find out what works for everyone?   Make sure to block off your calendar, whether it be tentatively busy, busy or out of the office. I can’t comment on the colours at this point, since each person can customize their calendar the way that works best for the...
Opening Microsoft Office 2007 Files in Microsoft Office XP
2008-01-09 15:04:00
I recently had a vendor send us an Excel spreadsheet that he created in Microsoft Word 2007 format. Unfortunately, our firm still only has Microsoft Office XP and was curious as to how this would work.   I remember in the past that you can always downgrade files. For example, if I have Microsoft Excel XP and would like to send a file to a client that only has Microsoft Excel 97 (which was a horrible disaster for Microsoft, since there were quite a few bugs in this version), you could save the file as a Microsoft Excel 97 version. The only downfall was that if you accidentally sent the client a Microsoft Excel XP version, they wouldn't be able to open it.   The good news is that Microsoft has come out with a patch for this. If you receive a file that was written in the Microsoft Office 2007 format, you can download the patch called Microsoft Office Compatibility Pack for Word, Excel, and PowerPoint 2007 File Formats.   You can now go ahead and open...

How to use HTML signature in Microsoft Outlook 2007
2007-12-18 07:19:00
Unlike Outlook Express and the older versions of Microsoft Outlook, creating an HTML signature in Microsoft Outlook 2007 is no longer easy. The option to install a signature file is no longer available in Outlook 2007. If you try to paste the HTML code, it will only show up as text. If you don't have one, you can get one at MyBlogLog. Save the file on your desktop.STEPS1. In Microsoft Outlook 2007, go to Tools, then Options.2. Click the Mail Format tab and open Signatures.3. Yellow Post-It Notes
2007-11-21 14:43:00
Are you looking for some innovative ways on using your yellow Post-It notes? Here's an article I found on a fellow Administrative Assistant's website for some great uses.  It even covers electronic sticky notes. If you are more of a person who likes to use Outlook for reminders to pop up a few minutes, hours or days before the task needs to be completed or you need to attend a meeting, here are some tips on how to go about it: Write up the task in your Outlook, but make sure to give yourself enough time to be able to complete the task.  A day or two before the task is due is usually sufficient. If you are booking a meeting for yourself, for others or both, give everyone ample time to respond to the meeting and provide a reminder (there's a check box for this in the meeting set up page) of at least 15 minutes. If you are looking to take sticky notes to a new level, you can read more information about it on this article. If you have any questions, suggestio...
